Guides

From first form to managed agreement.

Short, practical walkthroughs of the things teams set up first. Each one works on its own, and together they cover the full path from a submission to a signed, tracked agreement.

Guide 1

Run your first workflow.

The fastest route is a ready-made process. You can also build a workflow on any form of your own.

    Step 1

    Pick a starting point

    Open Processes and choose a ready-made process, such as a leave request or supplier onboarding. Or start from one of your own forms.

    Step 2

    Install it

    Installing adds the form, its documents and its workflow to your workspace in one step. Everything stays editable.

    Step 3

    Shape the steps

    In Workflows, add or reorder steps: send email, approval, create task, webhook, generate document and request signature. Add a “when” condition to any step so it only runs when the answers call for it.

    Step 4

    Choose approvers

    Route an approval to a named member, a role, or a person named in a form answer. Decide whether any one approver is enough or all must approve, and set reminders and escalation.

    Submit a test

    Publish the form and send a test response. It becomes a transaction with its own reference and timeline, and approvers find their step in the Inbox.

Guide 2

Send a document for signature.

Signing is included; signing volumes are agreed with your organisation.

    Add the document

    Upload your own PDF. Or, in a workflow, add a request signature step after a generate document step to sign what the workflow produced.

    Step 2

    Add signers and set the order

    List who signs and choose sequential tiers or parallel signing. Signers do not need an account.

    Step 3

    Place the fields

    Drag signature and other fields onto the page where each signer should complete them.

    Send

    Set an expiry and send. Each signer opens a secure link and confirms a one-time code sent to their email before signing.

    Follow it through

    Send reminders, reassign a signer or void the request if plans change. When everyone has signed, you get a sealed, timestamped PDF, an audit trail and a bilingual certificate of completion, and an agreement is created automatically.

Guide 3

Import agreements signed elsewhere.

Bring existing contracts into the same repository, so their renewals are tracked alongside new ones.

    Upload the PDF

    In Agreements, choose to import and upload the signed PDF.

    Record the essentials

    Set the counterparty, the agreement type and the key dates. AI can suggest key terms such as parties, dates and renewal notice; nothing is saved until you confirm it. Scanned PDFs without a text layer cannot be read by AI yet.

    Step 3

    Decide on renewal

    Choose whether it renews automatically. Expiry reminders go out at 90, 60, 30 and 7 days before the end date.

    Step 4

    Add obligations

    If the agreement carries recurring duties, add them as obligations so they turn into tasks on schedule.

Guide 4

Track obligations with evidence.

Obligations are the duties an agreement creates after it is signed: an annual insurance certificate, a monthly report, a yearly review.

    Add an obligation

    Open the agreement and add a one-off or recurring obligation, with when it is due and how often it repeats.

    Step 2

    Work it from the Inbox

    Each occurrence becomes a task in the Inbox, with reminders as the due date approaches.

    Step 3

    Complete it with evidence

    Completing a task requires a file upload as evidence. The schedule then rolls forward to the next occurrence.

    Close it out

    If the agreement is terminated, its open obligations are cancelled.

Guide 5

Set your workspace AI policy.

Decide which AI features your workspace uses, and which providers may process its content.

    Open the policy

    In Settings, open the workspace AI policy. The policy applies to everyone in the workspace.

    Step 2

    Choose the features

    Every AI feature can be switched off. Keep only the ones your team is comfortable using.

    Step 3

    Choose the providers

    Allow OpenAI, Groq or both. AI features only use the providers you allow.

    Step 4

    Know what is sent

    For questions across all agreements, only the question goes to the model; the search runs on your own data. Summaries, questions and key-term extraction for one agreement send that document’s text to your allowed provider. Extracted terms stay suggestions until a person confirms them.
